Calendly vs EveryFreeTool Scheduling: Pricing, Limits, and When to Switch
Last updated: May 4, 2026
Free Scheduling Page
Calendly alternative with live Google Calendar sync, custom availability, email confirmations. Free for 1 page.
Try It Free →Calendly defined the booking-page category. Almost every alternative since 2013 has been measured against it. After spending a year building EveryFreeTool's free scheduling tool and using both in production, here is the honest comparison: where Calendly wins, where EveryFreeTool wins, and the specific situations where switching makes sense.

The Pricing Reality
Calendly's pricing as of 2026:
- Free: 1 active event type, 1 calendar connection, Calendly branding visible on every booking page.
- Standard ($10/seat/month, billed annually): unlimited event types, 6 calendar connections, removes branding, adds workflows and integrations.
- Teams ($16/seat/month): adds round-robin, lead routing, and Salesforce sync.
EveryFreeTool's pricing:
- Free: 1 scheduling page, 1 connected Google Calendar, small EveryFreeTool credit on your booking link, all core features (custom availability, buffer times, time zones, email confirmations, .ics attachments, live two-way Google Calendar sync).
- Pro ($8.99/month): unlimited scheduling pages, multiple calendars, removes the EveryFreeTool credit, advanced features.
The headline difference: Calendly's free plan caps you at one event type. If you want a 30-minute intro call AND a 60-minute working session, you need to pay. EveryFreeTool's free plan gives you one full scheduling page where you can define unlimited meeting types within that page. For solo professionals running a single booking surface, that distinction alone is the deciding factor.
Feature-by-Feature Honest Comparison
Calendar Sync
Both support live two-way Google Calendar sync on their free tiers. EveryFreeTool's free plan supports 1 connected Google Calendar (read availability + auto-create events). Calendly's free plan also supports 1 calendar but only 1 event type to use it with. Apple Calendar and Outlook integration: Calendly supports both natively on paid plans. EveryFreeTool currently only supports Google Calendar live sync; Apple and Outlook users can still receive .ics attachments via email confirmations, which most calendar apps add with one click.
Booking Page Customization
Calendly: Decent. You can pick a brand color, add a profile photo, write a headline. Removing the Calendly logo requires the paid plan.
EveryFreeTool: Comparable customization (brand color, avatar, headline, multiple meeting type colors). The EveryFreeTool credit appears as a small footer link, less prominent than Calendly's free-tier branding. Removing the credit also requires the paid plan ($8.99/month vs Calendly's $10/seat).
Availability Rules
Both handle the basics well: weekly schedules, date overrides, buffer times before and after meetings, minimum notice, booking window depth. Calendly has more sophistication on the paid plan (round-robin, collective availability across team members). EveryFreeTool covers the solo-professional case end to end on the free plan but does not yet support team scheduling.
Email Confirmations and Reminders
Both send confirmation emails to bookers and a notification to the page owner. Calendly's paid plans add automated reminder workflows (24 hour, 1 hour, custom). EveryFreeTool sends one confirmation with the .ics attachment; reminder workflows are on the roadmap.
Privacy and Data
Calendly stores your data on their servers and uses it for their own analytics. EveryFreeTool stores your booking pages and bookings in your account but does not use the data for any internal analytics or sell it to third parties. Both encrypt OAuth tokens at rest.
When Calendly Is Genuinely the Right Pick
Calendly is the right tool when:
- You need team scheduling (round-robin, collective availability, lead routing). EveryFreeTool does not currently offer this.
- You need Salesforce or HubSpot integration as a hard requirement of your sales workflow. EveryFreeTool does not have native CRM connectors yet.
- You need more than one event type from day one AND have a budget for the $10/month standard plan. Calendly's paid plan is genuinely full-featured.
- Your customers have a strong brand expectation that they recognize the Calendly logo as the booking-page standard. Some professional services contexts have this expectation.
When EveryFreeTool Is the Right Pick
EveryFreeTool's free plan is the right pick when:
- You're a solo professional (consultant, freelancer, founder, advisor) running one booking page that handles multiple meeting types within it. The free plan covers this case completely.
- You're cost-sensitive and Calendly's $10 a month per seat is friction. Our free tier replaces about 80% of what most solo Calendly users actually use.
- You want to own your booking link branding later for $8.99 a month rather than $10 a month per seat. Same outcome, lower price.
- You like browser-only tools with minimal data collection. Calendly is a heavier SaaS experience with more tracking; EveryFreeTool is closer to a personal-website widget.
The Switching Cost
Migrating from Calendly to EveryFreeTool takes about 15 minutes for a single-page setup:
- Open your EveryFreeTool scheduling page setup wizard.
- Recreate your meeting types (name, duration, description, location). Most people have 2 to 5 of these.
- Set your weekly availability. Copy the same hours you had in Calendly.
- Connect Google Calendar (one OAuth click, two-way sync starts immediately).
- Update your booking link in your email signature, website, social bios, and any sent-already meeting invites.
Existing bookings on Calendly stay on Calendly until they happen, so you don't lose anything. Just stop sending the old link.
The Frustration Most People Don't Mention
The biggest friction with Calendly's free plan is the one event type cap. Most professionals who try the free tier hit this within the first day, because nobody runs a real schedule with only one type of meeting. You quickly realize you need a 15 minute intro, a 30 minute working session, AND a 60 minute deep-dive, and now you're paying $10 a month for what should be a free feature on a $0 plan. EveryFreeTool's free plan was designed specifically to remove that friction. Define as many meeting types as you want within your single free scheduling page. The Pro upgrade only kicks in when you need a second separate page (a different booking surface, like one for sales calls and one for partnerships).
Time Zone Reality
If you book across time zones, both Calendly and EveryFreeTool auto-detect the booker's local zone and display slots in their time. The math is identical. Where EveryFreeTool helps is the planning side: use the Timezone Meeting Planner to figure out which availability windows actually overlap with the regions you book the most, then set those windows on your scheduling page. The World Clock is useful for sanity-checking what "3 PM your time" means for a counterpart in Tokyo or London before you hit confirm.
The Honest Recommendation
If you're on Calendly's free plan and bumping against the one-event-type limit, switch to EveryFreeTool's free plan. Same Google Calendar sync, same email confirmations, no event type cap.
If you're on Calendly's paid plan ($10 per month per seat) and using only solo features (no team scheduling, no Salesforce integration), switch to EveryFreeTool Pro at $8.99 a month. Same outcome, lower cost, fewer pixels of branding on your booking page.
If you genuinely need team scheduling, lead routing, or CRM integration, stay on Calendly. We're not there yet and probably won't be for the team-scheduling use case anytime soon.
Open the free scheduling page and try it for 5 minutes. The OAuth flow takes one click; the wizard is faster than Calendly's. If it doesn't fit, the cost was 5 minutes.

Try It Free →Frequently Asked Questions
Is the EveryFreeTool scheduling page really free?
Yes. The free plan includes 1 scheduling page with unlimited meeting types, 1 connected Google Calendar with live two-way sync, custom availability, buffer times, email confirmations, and .ics attachments. The only thing the free plan adds is a small EveryFreeTool credit at the bottom of your booking page. Pro at $8.99 a month removes the credit and unlocks unlimited pages and multiple calendars.
How does Calendly's free plan compare?
Calendly's free plan caps you at 1 event type, which means you cannot have separate bookable durations (no 30 minute and 60 minute side by side without paying). EveryFreeTool's free plan lets you define unlimited meeting types within your single free scheduling page, which removes the most common reason solo users feel forced to upgrade Calendly.
Does EveryFreeTool support Apple Calendar or Outlook live sync?
Not yet for live two-way sync. Today, only Google Calendar has the read-availability and auto-create-events integration. Apple and Outlook users can still receive .ics attachments in their confirmation email and add events to their calendar with one click, which covers most personal use cases. Native Apple and Outlook integration is on the roadmap.
Can I migrate my Calendly bookings to EveryFreeTool?
Existing bookings on Calendly stay on Calendly until they happen; you do not need to migrate them. To switch, just create your EveryFreeTool scheduling page, replicate your meeting types and availability (about 15 minutes of setup), and update your booking link wherever you've shared it (email signature, website, social bios). The cost of switching is the time it takes to update those links.
When should I stay on Calendly?
Stay on Calendly if you need team scheduling features like round-robin distribution or collective availability, native Salesforce or HubSpot CRM integration, or your team is already deeply embedded in the Calendly workflows ecosystem. EveryFreeTool covers the solo-professional case end to end but does not currently offer team or CRM features.
